SUMMARY

Under general supervision, provides professional secretarial support and operational supervision for an MPS high school site; provides information and assistance to MPS staff, students and clients; resolves operational issues, using knowledge of the operations and policies of MPS.

 

ESSENTIAL FUNCTIONS

  • Provides professional secretarial support for the School Principal in a high school setting; performs supervisory and administrative support duties for assigned school site within scope of authority and training, and in compliance with MPS policies and quality standards; duties may vary according to job assignment.
  • Works independently and makes appropriate decisions based on experience.
  • Exercises initiative in performing work assignments; applies judgment and knowledge of the operations of the school to resolve problems and make work process decisions; refers matters requiring policy interpretation to supervisor for resolution.
  • Provides lead support and training to clerical and support staff; coordinates reserve and substitute teachers, class coverage, and classroom assignments.
  • Provides customer service, information and assistance to MPS staff, students, parents, visitors and others having business with MPS; coordinates communication at school site; interprets and explains MPS rules, policies and procedures
  • Completes and coordinates special projects; assists with developing and managing budgets, and monitoring expenditures; coordinates school functions and usage of school facilities; reviews and approves building and special use permits.
  • Keeps daily attendance records for staff, and records of overtime and compensation time; supervises timekeeping records and payroll reporting.
  • Collects data and reports information; maintains accounts for budget, grant funds, purchasing, payroll, timekeeping, transportation, enrollment, attendance, registration, and records requests.
  • Assists with developing and implementing school and office policies and procedures.
  • Monitors school security system, locks and unlocks doors, and manages key controls.
  • Maintains computer database and files; enters data; researches electronic and paper files, records, and documents; reviews and updates statistical information, reports and technical documents; collects and compiles statistical data; develops and creates technical and operational reports.
  • Accesses MPS files, and locates information for clients, staff, local agencies and others as authorized.
  • Prepares, compiles and distributes school calendar, information packets and other communications.
  • Orders, receives and distributes supplies and equipment.
  • Demonstrates courteous and cooperative behavior when interacting with students, clients, visitors, and MPS staff; acts in a manner that promotes a harmonious and effective workplace environment 
  • Enthusiastically promotes the Superintendent’s goals and priorities in compliance with all policies and procedures.
  • Maintains absolute confidentiality of work-related issues, records and MPS information.
  • Other duties or tasks may be assigned on an as-needed basis

 

MINIMUM QUALIFICATIONS

High School Diploma or GED equivalent

AND

4 years of office administration experience in a public school district or an equivalent combination of education, training and experience as determined by Human Resources.  

 

Knowledge of:
  • Applicable policies, procedures and regulations covering specific areas of assignment.
  • Specialized MPS and state agency software applications and network operating environments.
  • Principles and practices of public sector administrative staff supervision.
  • Customer service principles, protocols and methods.
  • Local community resources and community services programs.
  • Principles of record keeping and records management.
  • Professional standards for business correspondence, writing, spelling and grammar.
  • Office practices and procedures.
  • Business and personal computers, including spreadsheet, word processing, and database software applications.

 

Skill in:

  • Planning, prioritizing and completing assignments with minimum supervision.
  • Analyzing administrative issues, interpreting policies and procedures, and recommending solutions.
  • Organizing work, setting priorities, completing assignments, and meeting critical deadlines.
  • Responding to stressful and sensitive situations in a professional and confidential manner.
  • Operating business computers with standard and specialized software applications.
  • Researching computer databases, and compiling information for reports and special projects.
  • Entering information into a computer system with speed and accuracy.

LICENSE AND CERTIFICATION REQUIREMENTS

A valid Minnesota State Driver’s License may be required. 

 

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Work is performed in a standard office environment which requires occasionally lifting such articles as file boxes or heavier materials with help from others and/or lifting and carrying light objects frequently. A job in this category may require walking or standing to a significant degree or may involve sitting most of the time with long periods of computer work and heavy phone usage.
