*Bilingual Somali - This position requires a passing score on the ACFTL test.  This must be provided to Human Resources before you can be hired with the district.  If you have need to take the ACTFL test, please note that there is a cost associated with the test. 

 

SUMMARY

Under general supervision, serves as initial point-of-contact for families and students at the Student Placement/New Families Center; welcomes families and students, answers questions and refers to appropriate services.

  • Acts as a first-level customer assistant and/or answers the telephone; determines the nature of the visit or call; ensures that questions and concerns are addressed in a timely manner.
  • Provides factual information regarding student placement functions, activities, policies and procedures; distributes applications or other printed materials.
  • Schedules evaluation and testing of EL students.
  • Assists with special events, public programs and community meetings.
  • Performs a variety of basic office support duties such as collating materials, distributing incoming mail, preparing materials for mailing, completing forms, proofreading typed or printed materials, and/or composing correspondence, reports and other materials.
  • Keeps apprised of office activities and functions so as to communicate this information to the public.
  • Contributes to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and participating as an active member of a work team.
  • Demonstrates courteous and cooperative behavior when interacting with students, clients, visitors, and MPS staff; acts in a manner that promotes a harmonious and effective workplace environment 
  • Enthusiastically promotes the Superintendent’s goals and priorities in compliance with all policies and procedures.
  • Maintains absolute confidentiality of work-related issues, records and MPS information.
  • Other duties or tasks may be assigned on an as-needed basis
  • At times may be required to work outside normal business hours and work extended hours to accomplish requirements of the position.

 

MINIMUM QUALIFICATIONS

Education, Training and Experience Guidelines

High School Diploma/GED; AND two (2) years of experience in customer service; AND demonstrated fluency (read, write, speak and comprehend) in either Spanish, Hmong, Somali; OR an equivalent combination of education, training and experience as determined by Human Resources.    

 

Knowledge of:
  • Rules and regulations of the Minnesota Department of Education and other governing agencies.
  • Applicable policies, procedures and regulations covering specific areas of assignment.
  • Principles and practices of public relations, marketing and public communications.
  • Local community resources and regional community services programs.
  • Principles of record keeping and records management.

 

Skill in:

  • Providing effective customer service, and dealing tactfully and courteously with the public.
  • Gathering and compiling data, and reporting findings.
  • Operating a personal computer utilizing standard and specialized software.
  • Establishing and maintaining cooperative working relationships with co-workers.
  • Effective verbal and written communication.
  • Dealing successfully with a variety of individuals from various socioeconomic, ethnic and cultural backgrounds, in person and over the telephone.

 

LICENSE AND CERTIFICATION REQUIREMENTS

A valid Minnesota State Driver’s License may be required. 

 

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Work is performed in a standard office environment which requires occasionally lifting such articles as file boxes or heavier materials with help from others and/or lifting and carrying light objects frequently. A job in this category may require walking or standing to a significant degree or may involve sitting most of the time with long periods of computer work and heavy phone usage.
